Give Every Reusable Resource a Clear Home

A resource is difficult to reuse when the editable copy, final download, and notes all have nearly identical filenames. Start with the small collection you actually open.

Identify the current version

For one resource, record its purpose, owner, version date, and authoritative location. Distinguish the editable source from a final file intended for use. Avoid quietly overwriting the only copy of a file someone else depends on.

Keep use terms with the material

Record who created it and what the license permits. A file appearing in a shared folder does not establish permission to redistribute it or sell a derivative.

Separate blank tools from completed records

Keep identifiable client information in the appropriate authorized system. A reusable resource library should not become a storage place for completed family forms.

Once the small collection is clear, decide whether the rest deserves the same attention. Organizing every archived file can become its own full-time project.
